We are seeking an experienced Lead Document Controller to provide functional leadership and oversight of Fortescue’s Document Control capability across projects, operations, site teams and the corporate office.
As part of the Information Management & Systems Centre of Excellence, you will lead the development and continuous improvement of document control standards, systems and governance practices, ensuring the accuracy, traceability and lifecycle integrity of controlled information. You will also act as the functional owner and subject matter lead for key Document Control systems, supporting seamless information flow across engineering, project delivery, operations and corporate stakeholders.
Key Responsibilities
- Lead, coach and mentor Document Control personnel across project and corporate environments, including performance, capability development and resource planning
- Develop, maintain and continuously improve Document Control standards, procedures and the Document Management Plan
- Lead implementation of Document Control governance frameworks aligned with Fortescue’s One Information Management Framework and relevant ISO standards
- Act as functional system steward for Document Control platforms including PIMS, ProjectWise and AIMES, ensuring effective integration and interoperability
- Oversee document management systems, workflows, metadata governance, automation and lifecycle reporting
- Ensure consistent document numbering, revision control, metadata tagging, transmittal and controlled information exchange processes
- Coordinate document control readiness for project stage gates, digital handover, statutory requirements, archival integrity and records retention
- Conduct audits, monitor compliance, manage Document Control risks and resolve process deviations and improvement opportunities
- Build strong relationships across Engineering, Project Delivery, Operations, Site Teams and Corporate functions, and act as the key Document Control interface with EPCs, consultants and service providers
- Provide subject matter advice, training and reporting on document management requirements, system performance, risks and Document Control capability.
Qualifications and Experience
- 7+ years’ experience in document control or information management within large-scale capital project environments
- Demonstrated experience leading Document Control teams across complex, multidisciplinary project environments
- Strong practical experience with EDMS platforms such as PIMS, ProjectWise, AIMES, Aconex or equivalent
- Proven ability to develop, standardise and optimise Document Control processes, workflows and governance practices
- Experience developing and implementing document management procedures, numbering systems and training materials
- Strong understanding of project delivery frameworks, information lifecycle management and digital handover processes
- High attention to detail with the ability to accurately manage large volumes of documentation and metadata
- Strong stakeholder management and communication skills, with the ability to engage across engineering, project, operational and senior leadership groups
- Degree or Diploma in Information Management, Engineering or a related discipline, or equivalent relevant experience
- ISO 19650 or ISO 15489 training/certification is desirable, with experience in resources, green energy or infrastructure project environments preferred.
